Gala dinner & award ceremony management in Dubai & Saudi Arabia

Three hundred guests, one stage, and a room that has seen every gala trick in the book. We produce the nights that still manage to raise the bar — and the toast.

Read-in The brief, decoded

Gala fatigue is real. Boredom is optional.

Your guests attend a dozen galas a season. They can predict the harp at arrival, the chicken-or-beef, the forty-minute awards block that dies on stage. The format isn’t tired — the execution is. A gala works when it’s paced like a broadcast: a rundown to the minute, segments that move, and personal moments engineered for the people being honored.

We produce corporate galas, annual dinners, national-day celebrations and full awards ceremonies — including iftar and suhoor formats in Ramadan — across Dubai, Abu Dhabi, Riyadh and Jeddah. Theme and staging get the applause; the table plan, the trophy table and the winner routing are what actually make the night.

Scope What we deliver

Everything on one scope sheet

01

Creative theme & scenic staging

A concept that isn’t ‘elegant gold’ again — designed, rendered and built to the room’s sightlines.

02

Rundown & bilingual show calling

Minute-by-minute pacing, EN–AR MCs, and a show caller who kills dead air before it starts.

03

Award segment design

Categories, envelopes, winner marshals, walk music and trophy hand-offs that flow — no wandering, no wrong names.

04

Entertainment & artist liaison

From string quartets to headline acts — sourced, contracted, licensed and stage-managed.

05

F&B curation with the venue

Menu design and tastings with venue chefs; service choreography timed to the show, not against it.

06

Table plans & protocol seating

Precedence-aware seating, escort hosts, and the diplomacy of table 14 handled quietly.

07

AV for speech and spectacle

IMAG, teleprompt, follow spots and an audio design where speeches are heard and the band still hits.

08

Red carpet, media wall & photography

Arrivals that produce coverage; galleries edited and delivered before Monday.

09

Judging & voting administration

Independent scoring, auditable tallies and sealed results for awards programs that need credibility.

10

Permits & the safety file

DET entertainment permits, venue liaison and an in-house-written HSE pack — crowd, fire, and rigging covered.

Safety is not a subcontract here

Every ORO project ships with its own HSE file — risk assessments, method statements and, where scale demands it, an embedded safety officer — prepared by our in-house HSE & sustainability division, not a third party found the week before doors.

Q&A Straight answers

Asked before every gala

What does a gala dinner cost per person in Dubai?+
As a planning bracket: hotel-ballroom galas typically land at AED 350–900 per guest all-in (venue F&B plus production), depending on room, menu and entertainment. Production-only — staging, show, AV, management — starts around AED 60k for 150 guests. We quote line-by-line after the brief.
How early should we book a November or December gala?+
Lock the venue and any headline entertainment by early September. The Gulf’s gala season compresses into ten weekends; the best ballrooms and acts go first, and rush premiums appear after October 1.
Do performers need a license?+
Yes — in Dubai, entertainers require DET permits, and venues require documentation before load-in. We file these as standard, including for international artists, so your act clears before it’s announced.
How do you keep a 20-category awards night from dragging?+
Segment engineering: seven-minute category pacing, winner marshals staging the next honoree while the current one speaks, walk music with hard outs, and a show caller empowered to compress live. Forty categories can run under two hours without feeling rushed.
Can you run Ramadan iftar or suhoor galas?+
Yes — timing built around Maghrib, culturally appropriate programming, and menus designed with the venue for the format. Suhoor events in particular have become the season’s most atmospheric corporate nights.
What’s different about galas in Saudi Arabia?+
Protocol-aware seating, Arabic-first show calling, entertainment selected to venue and audience expectations, and GEA permitting instead of DET. We deliver Riyadh and Jeddah galas with local crews — same rundown discipline, native execution.
Can you administer the judging for our awards?+
Yes — independent scoring administration, auditable tally sheets, sealed results and, where sponsors require it, third-party verification. Credible awards are repeatable awards; we protect the asset.
