On the production side (excluding venue and F&B), mid-size conferences typically run AED 250–700 per delegate depending on staging, interpretation and hybrid scope. A 300-delegate, single-day forum starts around AED 120k professionally produced. Fixed quotes follow a scope call.
How much lead time does a conference need?+
One hundred twenty days for 500+ delegates is our recommendation; 60–90 days is workable for smaller forums with an existing venue. Speaker availability and sponsorship sales — not logistics — are usually the real clock.
Can you handle registration and badging in-house?+
Yes — online registration journeys, payment where needed, and on-site badge printing measured in seconds per delegate. One record follows each delegate from sign-up to session analytics.
Is simultaneous EN–AR interpretation really necessary?+
In Saudi Arabia, effectively yes for any senior or public audience; in the UAE it depends on your delegate mix. Booths, certified interpreters and receiver logistics are part of our standard stack, so adding it is a line item, not a project.
How do you plan around prayer times and cultural rhythm?+
Agendas are built against prayer windows from day one — not squeezed afterwards — with breaks, F&B service and session lengths designed accordingly. In Ramadan we shift formats entirely. It’s the difference between a program that respects the room and one that fights it.
Is hybrid still worth the cost?+
For content-led events, yes — but as a capture strategy more than a live-viewer play. Recorded, edited session libraries extend sponsor value and audience reach for a year. We’ll tell you honestly if a live stream adds nothing.
Can you support CPD or accreditation requirements?+
Yes — attendance verification, session-level tracking and certificates issued against verified records, aligned to your accrediting body’s documentation requirements.
